Conditions

11 — 13 November 2024: The registration of the Pan European Roadshow in Central Europe is restricted and defined as per the following terms and conditions:

Roadshow

Exhibitor or seller

An authorized DMC (Destination Management Company) in one of the Asian destinations as specified in the registration form. The organizers limit the workshop to a maximum of 20 booths, each of which can be occupied by one or two participants from each DMC.

Buyer

Authorized tour operators, travel agencies, and MICE (Meetings, Incentives, Conferences, and Exhibitions) organizers who sell or are interested in selling Asian destinations in at least one of these source markets: Poland, Czech Republic, Hungary, Romania, and Israel. Managers with decision-making authority, a maximum of 2 per company, will be invited. Sellers will receive the profiles and contact details of the registered buyers within 3 days after the conclusion of the roadshow. The organizers limit the workshop to a maximum of 30 local buyers per event. Additionally, the organizers may invite a few selected media reporters and/or influencers.

Organizers

Terranova Tourism Marketing & Consultancy Ltd, based in Tel Aviv, is the responsible organizer. Terranova Central Europe, based in Budapest, operates the roadshow. The organizers cannot be held responsible for no-shows by registered buyers or if the buyers send another employee from their office.

Booth

Each booth is limited to one DMC. Each booth will consist of 4 seats – 2 for the exhibitors and 2 for the buyers. Exhibitors are entitled to bring one roll-up banner, decorations, and present presentations through laptops or tablets and distribute printed material. There will be no large screens or any other audiovisual tools. Music or noise is prohibited. The maximum time granted at the booth to one buyer is 15 minutes.

Print Catalogue

The organizers will print a catalogue featuring the profiles of all exhibitors, including contact details and logos. Each exhibitor will receive one page (free of charge), arranged alphabetically. The text is limited to 150 words. Text, logos, and any other picture material must be forwarded to the organizers by 31 October 2024. The organizers are not responsible for the inclusion of material not sent on time. This catalog will be distributed to all buyers. Buyers will be invited to place one page of advertisement (at extra cost).

Lucky Draw

To incentivize buyers' participation, each exhibitor will have the opportunity to grant one voucher (prize) per venue. This prize should allow the buyer to visit the exhibitor's destination (excluding flights) for a minimum of three nights, including accommodation for two people on a Half-Board basis and at least one activity. The organizers will share the details of the prizes, including the logo of the hosting DMC, in the invitation letter to the local buyers. Exhibitors can add limitations or restrictions (e.g., not valid during Peak Season, valid for one year only, or only valid for the person and spouse that participated in the workshop) provided these conditions are clearly defined on the voucher. The organizers cannot be held responsible for the actual materialization or quality of the prize. The lucky draw will take place after the conclusion of the workshop. The exhibitor granting the prize will be called to the stage to pick a business card of the buyers from a box. If the buyer is no longer present, the exhibitor may choose to send the prize to the buyer or continue to the next card.

Israeli Delegation

The organizers will invite up to 10 top Israeli authorized tour operators, travel agencies, and/or MICE organizers who sell or are interested in selling Asian destinations to the event taking place in Budapest. This invitation will not include airfare or transportation but will include 2 nights in a Budapest hotel. The organizers cannot be held responsible for no-shows by registered Israeli buyers.

Payment

Payments will be made through the office in Tel Aviv, either by bank transfer (bank costs to be paid by the exhibitor) or credit card. The special "early bird" reduction is valid only if full payment has been received within the offer period. If the organizers need to cancel the event for any reason, exhibitors will receive a full refund (except bank costs). If exhibitors cancel up to 60 days before the event, 50% of the registration fee will be refunded. Cancellations after this date will incur a 100% cancellation fee unless the DMC appoints an alternative DMC from the same country. Name changes are allowed, free of charge, up until 31 October 2024.

Acceptance of Terms

Completion of the registration form by exhibitors is regarded as their consent to these terms and conditions.

Roadshow

Insurance

Exhibitors and buyers are responsible for their own travel and health insurance. The organizers will not be liable for any injuries, losses, or damages incurred during the event.

Force Majeure

In case of events beyond the organizers' control (e.g., natural disasters, political unrest, pandemics), the organizers reserve the right to modify, postpone, or cancel the event without liability.

Code of Conduct

All participants are expected to conduct themselves in a professional and respectful manner. Any form of harassment or misconduct will result in immediate expulsion from the event without a refund.

Confidentiality

Participants must respect the confidentiality of all information shared during the event and not use it for any unauthorized purposes.

Data Protection

The organizers will comply with applicable data protection laws and will only use participants' personal information for purposes related to the event. Participants consent to the use of their information for event-related communications and publications.

Roadshow

Data Collection and Use

The organizers, Terranova Tourism Marketing & Consultancy Ltd and Terranova Central Europe will collect and process personal data provided by participants (exhibitors, buyers, media reporters, and influencers) to organize and manage the Pan European Roadshow in Central Europe.

 

Personal data includes but is not limited to, names, contact details, company information, and any other information voluntarily provided by participants during registration or the event.

Purpose of Data Processing

Personal data will be used for event management, communication with participants, preparation of event materials (e.g., catalogues), and facilitating networking between exhibitors and buyers.

 

Participants' data may also be used for post-event follow-ups, feedback collection, and informing participants about future events organized by Terranova Tourism Marketing & Consultancy Ltd and Terranova Central Europe.

Data Sharing

Personal data will be shared with relevant event participants (e.g., exhibitors, and buyers) to facilitate networking and business interactions.

 

Data may be shared with third-party service providers who assist in the organization and execution of the event (e.g., printing services, venue management) under strict data protection agreements.

Data Security

The organizers will implement appropriate technical and organizational measures to ensure the security of personal data and protect it against unauthorized or unlawful processing, accidental loss, destruction, or damage.

Data Retention

Personal data will be retained only for as long as necessary to fulfil the purposes for which it was collected, including any legal, accounting, or reporting requirements.

 

After the retention period, personal data will be securely deleted or anonymized.

Rights of Participants

Participants have the right to access their personal data, rectify any inaccuracies, request the deletion of their data, restrict or object to the processing of their data, and request data portability.


Participants can exercise their rights by contacting the organizers at the contact details provided in the event communications.

Consent

By registering for and participating in the Pan European Roadshow in Central Europe, participants consent to the collection, processing, and sharing of their personal data as described in this Data Protection and Privacy Policy.

Withdrawal of Consent

By registering for and participating in the Pan European Roadshow in Central Europe, participants consent to the collection, processing, and sharing of their personal data as described in this Data Protection and Privacy Policy.
